Privacy Policy
This policy explains what SwiftManage collects, why we collect it, and the choices you have. It applies to clients, their customers and visitors to swiftmanage.co.uk. Last updated: 17 August 2026.
Information we collect
We collect information in three broad categories:
- Contact information such as your name, business name, email address and phone number, which you provide when you enquire, book a demo or sign up.
- Account information such as your portal username, password (stored as a secure hash), business industry, assigned package and project details.
- Billing information processed by Stripe, including your subscription, setup fee, payment history and Bacs Direct Debit mandate. We never store your full bank account or card numbers.
How we use your information
We use the information we collect to:
- Provide and maintain your SwiftManage platform and portals.
- Set up and manage your subscription, setup fee and recurring payments.
- Communicate with you about your account, support requests and service updates.
- Improve the platform, fix issues and keep records for as long as needed.
- Meet our legal and tax obligations as a UK business.
We do not sell your personal information.
Customer data
Information you enter into your SwiftManage platform, such as bookings, orders, customer enquiries and messages, belongs to your business. We process this data on your behalf to make the platform work.
We only access your customer data to provide support, fix issues, or where required by law. We do not use your customers' data to market SwiftManage.
Analytics
We use analytics to understand how the site is used and to improve it. This may include aggregated, anonymised data about pages visited and general location (such as country or region). We do not use analytics to identify individuals.
External providers
We rely on trusted providers to run the platform. Each provider processes data under its own terms and only what is needed to deliver their service:
- Stripe handles payment processing, subscriptions, invoices and Bacs Direct Debit mandates. Your bank and card details are collected and stored by Stripe, not SwiftManage.
- MailerSend delivers transactional emails such as login details, verification codes and billing notifications on our behalf.
- Google services may be used for analytics, maps and authentication, where enabled.
Each provider is responsible for their own data practices under their published privacy policies.
Data retention
We keep your information for as long as your account is active, and for a reasonable period afterwards to meet legal, tax and accounting requirements in the UK.
Customer data you enter into the platform is retained while your subscription is active and is removed when your account is closed, unless we are required to keep it for legal reasons.
Security practices
We apply sensible security measures to protect your information: encrypted passwords, access controls that limit who can reach account data, and secure connections for data in transit.
Payment details are handled entirely by Stripe, which is certified to PCI DSS standards. No method of storage is completely secure, but we work to keep your data safe and act quickly if an issue is identified.
Your rights
Under UK data protection law you have the right to:
- Access the personal information we hold about you.
- Ask us to correct information that is inaccurate.
- Ask us to delete your personal information in certain circumstances.
- Object to or restrict how we use your information.
- Receive your information in a portable format.
To exercise any of these rights, email help@swiftmanage.co.uk.
Data deletion requests
You can request deletion of your personal information at any time. We will action your request within 30 days, subject to any legal requirement to retain certain records.
When your SwiftManage account is closed, we remove your account data and the customer data held within your platform, unless we are required to keep it for legal, tax or dispute purposes.
