Terms of Service
These terms set out how SwiftManage and our clients work together. They're written in plain language so you know what to expect. By using the platform you accept these terms. Last updated: 17 August 2026.
The services
SwiftManage provides a unified platform that may include websites, software, mobile applications, customer portals, team portals and booking systems. The exact services you receive depend on the package you choose (SwiftStart, SwiftGrowth or SwiftEnterprise) and any agreed custom work.
We build, host and maintain the platform so you can run your business from one place, across web and mobile.
Setup fees
A single setup fee covers the initial build and configuration of your platform. The amount is confirmed before work begins and is shown on your billing page.
The setup fee is payable before your platform goes live, unless a different arrangement has been agreed in writing.
Monthly subscriptions
Your platform is provided under a monthly subscription that starts when your setup is complete. The monthly fee depends on your package and is shown on your billing page.
Subscriptions renew automatically each month until cancelled in line with these terms.
Billing terms
Your setup fee and monthly subscription are invoiced in pounds sterling (GBP). Payments are processed securely by Stripe.
- Monthly invoices are generated at the start of each billing cycle.
- If a payment fails, we'll let you know and retry as part of the normal Direct Debit process.
- VAT, where applicable, is included or shown on your invoices as required by UK rules.
Direct Debit subscriptions
Recurring monthly payments are collected by Bacs Direct Debit through Stripe. When you set up Direct Debit, you authorise SwiftManage (via Stripe) to collect payments from your bank account.
The Direct Debit Guarantee applies to your payments. You're protected by the guarantee and can cancel a Direct Debit at any time through your bank or Stripe. Cancelling Direct Debit does not by itself cancel your subscription, but unpaid subscriptions may be paused under these terms.
Client responsibilities
To keep things running smoothly, you agree to:
- Provide accurate business and contact details, and keep them up to date.
- Maintain valid access to the email and bank account linked to your subscription.
- Use the platform lawfully and respect the rights of your own customers.
- Respond to reasonable requests from us where needed to deliver and support the platform.
Revisions
Each package includes an agreed scope. Reasonable tweaks during the build are included; larger changes may be quoted separately. After launch, change requests can be raised through your portal and are handled under your package or as agreed.
Intellectual property
SwiftManage owns the platform, its code and its design. You own your brand assets, content and the customer data you enter into the platform.
We may use your business name and agreed case details for marketing only with your permission.
Support
Support is included for the duration of your subscription. We aim to respond to support requests within 1 business day. Details are on our Support page.
Cancellations
You can cancel your subscription at any time. Cancellation stops future renewals; the current month remains active until the end of the billing cycle you've paid for.
The setup fee cannot be refunded once build work has started, except where required by UK consumer law.
Data ownership
Your customer data, bookings, orders and content belong to you. We process it on your behalf to run the platform. On cancellation, you can export your data, and we'll remove it after a reasonable transition period, unless law requires us to keep it.
Service availability
We aim for the platform to be available 24/7 apart from planned maintenance, which we schedule at times of low traffic. We don't guarantee uninterrupted service and are not liable for outages outside our reasonable control, such as issues with external providers or your internet connection.
Limitation of liability
To the fullest extent allowed by UK law, SwiftManage is not liable for indirect damages or loss of profit arising from use of the platform. Our total liability for any claim is limited to the fees you've paid in the 12 months before the claim.
Nothing in these terms limits liability that cannot be excluded under UK law.
Account termination
You can close your account at any time by contacting support. We may suspend or close an account where a subscription remains unpaid, where the platform is misused, or where required to protect other clients.
On termination, we'll help you export your data and then remove it in line with our Privacy Policy.
